MISSIONS
ALCADIA is seeking an experienced ECSS Secretariat Support Officer to support ESA’s ECSS Executive Secretariat activities.
The successful candidate will contribute to the administration, coordination and continuous improvement of ECSS training, documentation and standardisation support activities.
The role combines training coordination, SharePoint administration, document quality control and support to ECSS governance activities.
The Engineer will be responsible for the following main activities :
ECSS Training Administration Support the organisation and execution of ECSS training activities including:
- Course planning and scheduling.
- Registration management.
- Coordination with trainers and participants.
- Management of attendance records.
- Preparation and distribution of training certificates.
- Collection and analysis of participant feedback.
Training Support Activities
- Moderate online and classroom training sessions.
- Support ECSS training logistics.
- Prepare participant lists and statistics.
- Produce training reports and KPIs.
- Support continuous improvement of training activities.
Standards Quality Control
- Review ECSS documents prior to publication.
- Verify compliance with ECSS drafting rules.
- Verify formatting consistency and editorial quality.
- Support correction and implementation of review comments.
SharePoint Administration
Support the management and maintenance of the ESA Standards SharePoint environment:
- Document libraries.
- User access management.
- Repository updates.
- Version control.
- Publication workflows.
Support ECSS governance and standardisation activities through:
- Meeting preparation.
- Agenda preparation.
- Action tracking.
- Reporting support.
- Coordination with Working Groups and stakeholders.
Reporting & Statistics
- Produce training statistics.
- Monitor participation indicators.
- Support management reporting.
- Maintain performance dashboards.
SKILLS
We are seeking an experienced professional holding a degree in Engineering, Business Administration, Information Management or a related field, with a minimum of 5 years of experience in technical administration, training coordination or project support activities.
The ideal candidate will demonstrate strong organisational and communication skills, with the ability to support technical environments and coordinate activities within an international context.
They will have solid expertise in:
- SharePoint administration and Microsoft Office Suite
- Training organisation and event coordination
- Technical documentation review and quality control
- Reporting activities, statistics and dashboard preparation
- Effective communication, with excellent written and spoken English
In addition, the following experience would be highly valued:
- Experience within the ESA/ESTEC environment
- Knowledge of ECSS standards and involvement in ECSS training activities
- Coordination with international stakeholders
- Support to technical secretariat activities
Fluency in both English and French is required to ensure effective collaboration in a multicultural and international environment.
