Location:ESTEC, Noordwijk (The Netherlands) and/ or ECSAT, Harwell (United Kingdom) with travel for reviews and industrial interfaces as required.

MISSIONS
ALCADIA is seeking an experienced Configuration, Data and Documentation Management Engineer to support ESA’s CIP programmes and projects.
The position combines configuration and data management with documentation management in order to ensure coherent control of project information, baselines, data repositories, review data packs, records and formal documentation.
The successful candidate will interface with ESA project teams, industrial consortia, international partners, Information Security, data protection and documentation stakeholders.
Configuration and Data Management
• Coordinate configuration and data management activities and establish harmonised approaches, processes, tools and repositories across CIP projects.
• Implement and maintain project information structures, electronic configuration records, data repositories, access rights, storage and archiving processes.
• Ensure the correctness, availability, reliability, traceability and security of project information and coordinate with ESA IT, Information Security, PSSOs and data protection focal points.
• Support configuration planning, procurement evaluations and project interfaces with engineering, Product Assurance, Safety and Project Control.
• Control technical and contractual baselines and configuration records, including CIDL, CISL, ABCL, CSAR and configuration item or software data lists.
• Prepare and support CCBs and manage Change Requests, Contract Change Notices, Requests for Deviation and Requests for Waiver, including action follow-up and implementation of decisions.
Review and Documentation Management
• Coordinate review logistics, data pack reception and control, eRID administration, reviewer access, RID/action tracking and review close-out for PDR, CDR and other reviews.
• Define and maintain Documentation Management Plans, procedures, templates, records, archives and document control requirements.
• Coordinate the preparation, internal review, readiness tracking, publication and secure archiving of documents for Programme Boards, Member States and international partners.
• Ensure that final industrial reports and official deliverables are registered, indexed, version-controlled and stored in the appropriate repositories.
• Prepare user guides and training materials and contribute to CADM process improvement, automation, MBSE and potential AI applications.
SKILLS
We are looking for a highly organised and detail-oriented professional holding a Master’s degree in Engineering, Configuration Management, Information Management, Quality, Documentation Management, or a related field, with at least 3 years of experience in configuration management, data management, or technical documentation control within complex engineering programmes.
The ideal candidate combines strong expertise in configuration and documentation processes with a rigorous approach to information management, stakeholder coordination, and compliance. They are comfortable working in highly regulated environments, ensuring the integrity, traceability, and security of technical data throughout the project lifecycle.
Key qualifications and competencies:
- Proven experience in configuration management, data management, and technical documentation control for complex engineering or industrial projects.
- Strong knowledge of baseline management, configuration status accounting, Change Control Board (CCB) preparation, and change control processes.
- Experience managing technical data packs, review logistics, RIDs/actions, and configuration or documentation repositories.
- Good understanding of document registration, indexing, version control, approval workflows, records management, and archiving processes.
- Practical experience with SharePoint or equivalent document and information management platforms.
- Understanding of information security, export control regulations, access management, and personal data protection requirements.
- Excellent organisational, stakeholder coordination, and communication skills.
- Fluent written and spoken English. French would be considered an asset.
Desirable experience:
- Previous experience working with the European Space Agency (ESA), including ESTEC or ECSAT environments.
- Knowledge of ECSS-M-ST-40 and ECSS-M-ST-40 Rev.1 standards.
- Experience with tools such as Polaris, Microsoft Teams, EMIS, eRID, or equivalent review and data exchange solutions.
- Experience supporting major programme reviews, including Preliminary Design Reviews (PDR), Critical Design Reviews (CDR), management audits, and procurement evaluations.
- Familiarity with Model-Based Systems Engineering (MBSE), CADM automation, data package exchange processes, or AI-supported information management solutions.
- Experience working with international partners, industrial consortia, and multidisciplinary project teams.
